Getting Started
What is Crown QMS?
An introduction to Crown: what it does, how it's organized, and where to start.
Crown is quality management software for small food and beverage manufacturers. It keeps your production records, ingredient traceability, and compliance documentation in one place, so when an inspector asks for records, or a customer reports a complaint, you can respond quickly and confidently.
The core model
Everything in Crown connects through a simple chain: you make recipes, you produce batches against those recipes, and each batch consumes ingredient lots you've received and recorded. That chain is your traceability record, from raw ingredient to finished product.

Crown tracks four things on every production run:
- What you made: the recipe and version used, batch size, and actual yield
- What went into it: every ingredient lot consumed, with quantities
- How it was made: each stage completed, in order, with timestamps
- What came out: finished-good lots, ready for shipment or further traceability
What Crown isn't
Crown is not accounting software; there's no general ledger, accounts payable, or invoicing. It does capture ingredient costs and purchase references (invoice/PO numbers, unit costs) for traceability and recipe costing, but it won't reconcile your books. It also doesn't replace your regulatory obligations; it gives you the records and documentation to meet them, but the responsibility remains with you as the operator.
Where to start
If you're new to Crown, the fastest path to your first complete record is:
- Set up your facility profile: name, address, and lot code format
- Create your first recipe
- Produce your first batch against that recipe
The rest of the help centre covers each step in depth. Start with Setting up your facility profile.
Frequently asked questions
What is a QMS for a food manufacturer?
A quality management system (QMS) is the set of records and procedures a food business uses to show its products are made safely and consistently: batch records, ingredient traceability, monitoring programs, and a recall plan. Crown QMS keeps all of these in one place for small-batch producers.
Is Crown QMS an ERP?
No. Many tools in this space are ERPs (enterprise resource-planning systems) built around purchasing, inventory planning, production scheduling, and accounting, usually sized and priced for larger operations. Crown is a quality management system. It focuses on the food-safety and traceability records you're accountable for: batch records, lot tracking, monitoring programs, and your recall plan. It captures ingredient costs and purchase references for traceability, but it won't run your finances or supply chain. Most small producers need the compliance records long before they need an ERP.
Is Crown QMS suitable for a small or home-based food business?
Yes. Crown is built specifically for small-batch food and beverage producers rather than large enterprises, and most operators record their first batch within a day of signing up.
Does Crown QMS replace my accountant or my regulatory obligations?
No. Crown captures ingredient costs and purchase references for traceability but is not accounting software, and it gives you the records to meet your obligations without removing your responsibility as the operator.
