Setting up your facility profile

Your facility profile is the foundation of your Crown account. It sets the business name that appears on records, the address used in your recall plan, and the lot code format applied to every batch you produce. Set it up completely before creating your first recipe.

What you'll need

Have the following ready before you start:

• Your legal business or facility name
• Your facility address
• Your CFIA licence number and/or FDA Food Facility Registration number, if applicable
• A decision on your lot code format (see below)

Setting up your profile

1. Open your workspace settings

   Sign in with your Admin account and select Workspace, near the bottom of the left navigation bar. Then open the Company tab.

2. Enter your company profile

   Under Company profile, fill in your brand or trade name, your legal entity name, and your facility address. Your legal entity name is the one Crown prints on your preventive control plan, so enter it exactly as it appears on your registration. Set your timezone here too — Crown reloads the page when you change it, so that every date it records is stamped in your own working day.

3. Add your recall contacts

   Recall contacts is its own section, and it's required before your setup is complete. Name your recall coordinator with a phone number that's reachable around the clock, plus the consumer-facing email and phone that go on labels and public recall notices.

4. Add registration numbers

   If you hold a CFIA Safe Food for Canadians licence or an FDA Food Facility Registration, each gets its own section: enter the number, its expiry date, and upload the document itself. Crown reminds you 60 days before an expiry so a lapsed licence doesn't surprise you. These appear on your inspector pack and compliance documents.

5. Configure your lot code format

   Open the Lot Code Format tab. Pick one of the eight built-in styles — each card previews the format against your own company and product codes, so you can see the real result before choosing. Need something else? Open Advanced: custom template and build your own. Select Save format when you're happy. Crown applies it automatically to every batch you release. Lot code format

Your lot code format determines how Crown labels every finished-good lot you produce. A typical format has three parts: a short code for your company, a date, and a sequence number. A company called Fieldstone Kitchen, producing on 24 May 2026, would get FK-20260524-001 — FK for the company, 20260524 for the date, 001 because it was that day's first lot.

Company short code is the one field on the tab, and it's optional. Crown derives a code from your company name automatically; fill this in only when you want something different. Up to six characters, and it appears wherever your format uses the company token.
