Most small food manufacturers start with spreadsheets. It makes sense. You're running a lean operation, you know enough Excel to get you going, and building a few tracking sheets feels like a reasonable way to get your food safety records in order.
The problem surfaces later, and usually when it matters the most.
What spreadsheets do well (and why that's not enough)
Spreadsheets are flexible, familiar, and free. For a sole operator in early-stage production, a well-built set of sheets can cover the basics: a sanitation log here, a temperature record there, a receiving checklist for ingredients.
The issue isn't that spreadsheets are inherently wrong for food safety recordkeeping. The issue is what happens to them over time, and how they hold up when someone else looks at them.
Where they break down
Version control
A spreadsheet on your laptop is not the same document your inspector or co-packer's auditor expects to see. Files get renamed. Formulas get edited. Rows get deleted to clean things up. By the time an audit request arrives, your "current" sanitation log may be three versions removed from what you were actually doing six months ago.
Food safety records need to be accurate at the time they were created and unchanged since. A spreadsheet offers no inherent guarantee of either.
Traceability gaps
Forward and backward traceability requires linking lot codes across receiving records, batch production logs, and finished goods. In a spreadsheet, those links are manual: a cell reference or a VLOOKUP that breaks the moment someone adds a row in the wrong place or renames a tab.
A CFIA or FDA investigator conducting a trace exercise expects to move from a finished product lot to its input ingredients in minutes. If your answer is "let me find the right spreadsheet," you're already behind.
No audit trail
Who made the change? When did it happen? Who approved it? What was the previous value?
Spreadsheets don't answer those questions. A cell that now reads "pass" looked the same before you edited it. For food safety records, the history of a record is often as important as its current state. Corrective actions, deviations, and out-of-spec results all need to show what happened and when, not just what the current status is.
Human error at scale
A single missed cell, a copy-paste that skips a row, a formula that silently stops calculating. These are normal spreadsheet failure modes. In most business contexts they're annoying. In food safety recordkeeping they can mean a gap in your monitoring records that an auditor will flag as a control failure.
The more products you run, the more staff touch the records, and the longer your operation runs, the more exposure you carry.
Document management
A food safety program isn't one spreadsheet. It's a sanitation program, a pest control log, an allergen control procedure, a receiving program, a recall plan, training records, calibration logs, and more. Managing that as a folder of files (no version history, no access controls, no linking between documents) works until it doesn't.
When a wholesale buyer asks for your food safety documentation package, or an inspector arrives and wants to see your records for the past six months, what you hand over is a direct reflection of how seriously you take the program. A folder of spreadsheets sends a different signal than a structured, navigable system.
The inflection point
Most operators don't switch systems because they planned to. They switch because something forces the issue: an inspection notice, a failed audit, a wholesale account that requires documented food safety records, a recall scare that exposes traceability gaps, or simply the realization that what worked at 50 batches a year no longer works at 200.
The operators who make the transition smoothest are the ones who don't wait for the forcing event.
What to look for instead
Whatever system you use, it should do a few things a spreadsheet structurally cannot:
Maintain an immutable record of what was logged and when, with no ability to silently edit historical entries
Link records across the production chain so a lot code traces forward and backward without manual lookup
Version-control your procedures and programs, so you always know what was in effect on a given date
Make your documentation package retrievable in minutes, not hours
